Description
The Associate Registrar for Scheduling and Registration plays a key role in overseeing the planning, development, and execution of academic schedules, course catalogs, and registration processes. This role requires a comprehensive understanding of academic operations, student services, and regulatory compliance. The Associate Registrar ensures the smooth integration of registration systems, academic calendars, and classroom reservations, while providing leadership to the office staff and collaborating closely with other departments to improve processes.
Responsibilities
- Leadership and Oversight: Oversee and manage the development and execution of the annual course schedule, working closely with departments, faculty, and academic leadership to meet institutional goals. Supervise or mentor junior staff to ensure efficient office operations.
- Academic Calendar Management: Lead the process for establishing the academic calendar, refund dates, and publication timelines, ensuring alignment with academic policies and university goals.
- Course Catalog and Scheduling: Manage the maintenance and updates of the course catalog, ensuring that the academic offerings align with institutional objectives and accreditation standards.
- Registration Systems and Process Improvement: Lead the setup, testing, and troubleshooting of registration systems and processes. Provide strategic direction on the integration of new tools or technologies to streamline registration and scheduling workflows. Address complex registration issues for students, faculty, and departments.
- Data Accuracy and Reporting: Manage data integrity across registration, transcripts, and other academic records.听
- Classroom and Resource Management: Oversee the reservation of classrooms and other resources, ensuring that space usage aligns with scheduling and institutional priorities. Work to optimize classroom utilization across all terms.
- Compliance and Policy Oversight: Ensure adherence to federal and institutional policies, including FERPA, AACRAO guidelines, and accreditation requirements. Lead the development and dissemination of Standard Operating Procedures for the department.
- Collaboration Across Departments: Act as a liaison with academic departments, IT, Financial Aid, and other campus units to ensure the integration of scheduling, registration, and records systems.听
- Student and Faculty Support: Provide high-level support to students, faculty, and advisors on complex registration and academic record issues, offering solutions and recommendations for improvement. Lead efforts to resolve escalated issues efficiently and professionally.
- Project Management: Lead or contribute to key departmental projects, such as commencement planning, catalog updates, or student record audits. Track project progress and ensure timely delivery of outcomes.
Qualifications
- Bachelor鈥檚 degree required; Master鈥檚 degree in higher education administration, business, or a related field is preferred.
- Demonstrated experience with database management and office software systems required.
- Experience with Jenzabar One and web-based information management systems is preferred.
